Group Privacy Statement

(1) About this Privacy Statement

NZ Wildlife Alliance is the holding organisation for:

  • The Otago Peninsula Eco Restoration Alliance Limited (The OPERA)

  • Monarch Wildlife Cruises & Tours

  • Wingatui Glasshouses

This Privacy Statement explains how NZ Wildlife Alliance and its organisations (together, the Group) collect, use, store, share and protect personal information.

When you interact with one of our organisations, your personal information is managed by the relevant organisation in accordance with this statement. Personal information is not automatically shared between Group organisations simply because they are part of NZ Wildlife Alliance.

We manage personal information in accordance with the Privacy Act 2020 and the New Zealand Information Privacy Principles.

(2) Information We May Collect

The information we collect depends on how you interact with us. It may include:

  • Name, email address and telephone number

  • Country or region of residence

  • Age bracket

  • Booking and visitation information

  • Visitor numbers and group composition

  • Tours or experiences selected

  • Transaction and payment-related information

  • How you heard about us

  • Comments, enquiries or requests

  • Feedback and survey responses

  • Marketing and communication preferences

  • Donation and supporter information

  • Employment, recruitment, volunteer or contractor information

  • Information reasonably required for other operational activities

We aim to collect only information that is reasonably required for a legitimate purpose.

(3) Bookings & Visitor Experiences

The OPERA and Monarch Wildlife Cruises & Tours currently use FareHarbor to manage visitor bookings made through their websites, direct bookings and supported booking integrations.

When you make a booking, we may collect information such as your name, contact details, country or location, number of visitors, experience selected, booking date and time, comments or requests, marketing preference and transaction-related information.

Where bookings are made through travel agents, tour operators, API partners or other booking channels, the information we receive may vary.

Payment information associated with bookings may be processed through FareHarbor and approved payment service providers.

(4) Visitor Feedback & Customer Insights

The Group may invite visitors to provide feedback following their experience.

This may include visitor satisfaction, feedback about specific aspects of the experience, likelihood to recommend, comments and suggestions, email address, age bracket, country or region of residence and other relevant customer insight information.

Participation is voluntary.

Where applicable, we may ask for your email address so that your survey response can be appropriately matched with relevant booking information already held in FareHarbor and used to better understand our visitor experience and customer insights.

Providing an email address for this purpose does not automatically subscribe you to marketing communications.

Survey information may be analysed in identifiable, aggregated or anonymised form. Where individual identification is not required, we aim to use aggregated or anonymised information.

We may use approved third-party survey platforms to collect and process this information.

(5) Marketing & Communications

You may choose to receive communications from the relevant Group organisation.

These may include:

  • Wildlife and conservation updates

  • News and activities

  • Future experiences and events

  • Opportunities to support conservation or donate

  • Customer research and surveys

  • Other relevant initiatives

Marketing participation is voluntary and requires an affirmative choice.

Making a booking, completing a survey, making a donation or providing your contact information for another purpose does not automatically mean you have consented to receive marketing communications.

Your marketing choice for one Group organisation does not automatically apply to another Group organisation.

You may unsubscribe or withdraw your marketing consent at any time.

(6) Donations & Conservation Support

The Group may provide opportunities to make donations or otherwise support conservation through our websites or other approved channels.

When you make a donation, we may collect information such as your name, email address, telephone number, company name where provided, country or region, billing or postal address, donation amount, transaction-related information and information voluntarily provided in free-text fields.

Payment information may be processed through approved third-party payment providers. We do not intend to collect or retain complete payment card credentials where these are processed directly by the payment provider.

Donations may be associated with Otago Shore & Land Trusts. Where personal information collected through the Group is provided to the Trust for the administration of a donation, the information shared will be limited to what is reasonably required for that purpose.

Our general customer and marketing databases will not be routinely transferred to the Trust solely because you make a donation or express an interest in supporting conservation.

(7) Our Websites, Cookies & Analytics

When you visit one of our websites, we may collect information about how you use the website through cookies and similar technologies.

Depending on the website and technologies used, this may include:

  • IP address

  • Browser and device information

  • Pages visited and interactions with the website

  • Date and time of visits

  • Referring website or source

  • Website usage and analytics information

We may use cookies and similar technologies to provide website functionality, understand how our websites are used, improve our digital services and measure the effectiveness of our communications.

Some cookies and technologies may be provided by approved third-party services.

Where applicable, you can manage non-essential cookies through the cookie controls available on the relevant website or through your browser settings.

(8) Children

We aim to minimise the collection of identifiable personal information about children unless it is reasonably required to provide an experience, meet a safety requirement or support another legitimate activity.

Where visitor composition or age information is required as part of a booking, it will generally be provided by the booking customer, parent, guardian or lead visitor.

We do not normally seek to collect customer profiling or marketing information directly from children.

(9) Photography & Video

Photography and video may occur during our experiences, events and activities.

Applicable booking terms and visitor notices will govern the use of visitor photography and video. Where additional permission is appropriate because of the nature or intended use of identifiable imagery, separate consent will be obtained.

(10) How We Use Personal Information

We may use personal information to:

  • Manage bookings, purchases and visitor experiences

  • Respond to enquiries and provide customer service

  • Process transactions and donations

  • Understand visitor satisfaction and improve our experiences

  • Develop customer and organisational insights

  • Communicate with people who have chosen to hear from us

  • Support conservation and organisational activities

  • Manage our workforce and business operations

  • Meet legal, financial and regulatory requirements

We will not use personal information for an unrelated purpose unless there is an appropriate and lawful basis for doing so.

(11) Sharing Personal Information

We may share personal information where it is reasonably required for the purpose for which it was collected, where you have authorised us to do so, where an approved service provider requires it to provide services to us, or where sharing is required or permitted by law.

Being part of NZ Wildlife Alliance does not mean personal information is automatically shared between Group organisations.

Where information needs to be shared, we aim to limit it to what is reasonably required for the relevant purpose.

(12) Third-Party Service Providers

We use approved third-party organisations and technology providers to support our operations.

These may include providers supporting:

  • Booking and reservation management

  • Customer feedback and surveys

  • Website and hosting services

  • Payment processing

  • Business and productivity systems

  • Employee and workforce management

Some providers may store or process information outside New Zealand.

We consider the nature of the information involved, why it is required, where it may be stored or processed, who may have access and the relevant privacy and security arrangements when using material third-party systems.

(13) How We Protect Your Information

We take reasonable steps to protect personal information against loss, misuse, unauthorised access, modification or disclosure.

Access to personal information is based on role and business need, and workers should only access information reasonably required to perform their responsibilities.

We use approved organisational systems and apply security controls appropriate to the nature of the information and the systems involved.

(14) How Long We Keep Information

We retain identifiable personal information only for as long as it is reasonably required for the purpose for which it may lawfully be used and to meet applicable legal, financial and operational requirements.

Different categories of information may therefore have different retention periods.

Where personal information is no longer required, it may be securely deleted, destroyed or anonymised.

Aggregated or anonymised information that no longer reasonably identifies an individual may be retained for longer-term analysis and reporting.

(15) Accessing or Correcting Your Information

You have rights under the Privacy Act 2020 to request access to personal information we hold about you and to ask for correction of information you believe is inaccurate.

Requests should be directed to our Privacy Officer. We may need to confirm your identity before providing access to personal information.

If we do not make a correction you have requested, you may ask for a statement of the correction sought to be attached to the information.
